How to hire a venue
You can hire a venue by following the steps below:
- Take a look at the details for each venue to decide which is right for your event. You can browse through each of the venues on our Halls and meeting rooms pages.
- Check the venue's availability or make a tentative booking request on our eServices website (booking requests for town halls must be made at least 4 weeks before your event). Read venue hire terms and conditions (DOC 260KB).
- Find your preferred venue on this page and follow the relevant instructions for which forms need to be filled in for your booking request.
Please note: before using the forms below you need to check the venue's availability on our eServices website.
Council facilities/halls can be hired by local election candidates (including Councillors) at the normal corporate hire rate determined for the facility, in the lead up to an election only. However, no promotional material related to the event/hired use (apart from directional signage) can be displayed in the common public areas of the facility being hired.
Council facilities/halls may not be hired during an election period for any local, state or federal election.
Forms to hire a town hall
After you make a tentative booking request, you will need to fill in the relevant one of the following forms:
Brunswick Town Hall
Coburg Town Hall
- Coburg Town Hall booking form (DOC 416Kb)
- Coburg Town Hall Floor Plan
- Application for Discounted Venue Hire
- Catering Equipment form
- Food Premises Checklist Food Act1984
Once you have filled in the relevant form/s you need to:
- Email your completed form/s to townhalls@merri-bek.vic.gov.au within 14 days of making a tentative booking request. If you don't email us your completed form/s within 14 days, your tentative booking request will be cancelled.
- Once we receive your completed form/s, allow 5 working days for us to process it.
- If your booking is successful we will send you a confirmation letter.
- You must pay all the fees before your event.
Forms to hire a hall
If you have made a tentative booking request for one of the halls listed below, you will need to fill in the Community Venues Hire Agreement booking form (DOC 306Kb).
The venues you will need to fill in this form for are:
- Coburg Senior Citizen Centre
- Fawkner Senior Citizen Centre
- Fleming Park Hall
- Glenroy Senior Citizen Centre
- Gowanbrae Community Centre
- Harry Atkinson Art Craft Centre
- Merlynston Progress Hall
- Newland Senior Citizen Centre
- Pascoe Vale Senior Citizen Centre
- Richard Lynch Senior Citizen Centre
- Temple Park Senior Citizen Centre
Once you have filled in the form/s you need to:
- Email your completed form/s to communityvenues@merri-bek.vic.gov.au within 14 days of making a tentative booking request. If you don't email us a completed form/s within 14 days, your tentative booking request will be cancelled.

Forms to hire a meeting room
If you have made a tentative booking request for one of the meeting rooms listed below, you will need to fill in the Meeting Room booking form (DOC 172Kb).
The venues you will need to fill in this form for are:
- Coburg Library Meeting Room
- Coburg North Village Meeting Room
- Fawkner Meeting Room
- Campbell Turnbull Library Meeting Room
- Coburg Concert Hall
Once you have filled in the form/s you need to:
- Email your completed form/s to communityvenues@merri-bek.vic.gov.au within 14 days of making a tentative booking request. If you don't email us a completed form/s within 14 days, your tentative booking request will be cancelled.
- Once we receive your completed form/s, allow 5 working days for us to process it.
- If your booking is successful we will send you a confirmation letter.
